  • Emergency Contact Info: Because safety first, right? We need to know who to call if something goes sideways during a heavy deadlift session.
  • Health & Fitness Data: Medical conditions, injuries, fitness goals, training history - this helps our coaches design programs that won't wreck you. We're not doctors, but we need to know if you've got any limitations.
  • Payment Information: Credit card details, billing address, transaction history. We use secure payment processors, so we don't actually store your full card numbers on our systems.
  • Attendance & Performance: When you check in, what classes you attend, your workout stats if you're tracking them with us. Helps us see your progress and keep our scheduling tight.
  • Photos & Videos: Sometimes we capture action shots or training videos for social media, testimonials, or coaching purposes. We'll always ask before posting anything publicly.

We're not selling your data to random companies or spamming you with garbage. Here's what we actually do with your info:

  • Running Your Membership: Processing payments, managing your account, booking classes, tracking attendance. The basics that keep the gym running.
  • Personalizing Your Training: Our coaches use your fitness data and goals to create programs that actually work for YOU. Not some cookie-cutter nonsense.
  • Keeping You Safe: Your health info and emergency contacts are there in case we need them. Hopefully we never do, but better safe than sorry.
  • Staying in Touch: Class updates, schedule changes, maintenance closures, special events. We'll also send occasional promotions or new program announcements, but you can opt out anytime.
  • Improving Our Services: Analyzing attendance patterns, popular class times, equipment usage - helps us make smarter decisions about what we offer.

We run youth athletic development programs, which means we work with minors. Here's how that works:

  • We require parental/guardian consent before enrolling anyone under 18.
  • Parents provide the health and emergency contact information for their kids.
  • We collect the same type of data as adult members (attendance, performance, photos with permission) but parents control everything.
  • Parents can access, update, or delete their child's information anytime.
  • We're extra careful about photos and videos of minors - always getting explicit parent permission before posting anything.

If you've got questions about how we handle your kid's information, seriously - ask us. We're parents too and we get it.

We don't hoard data forever, but we can't delete everything the second you leave either. Here's our approach:

  • Active Memberships: We keep your data as long as you're a member. Pretty straightforward.
  • After Cancellation: Most of your info gets archived or deleted within 60 days of membership ending.
  • Financial Records: We gotta keep transaction records for 7 years for tax and accounting purposes. Canadian law requires it.
  • Liability Waivers: We hold onto signed waivers for 7 years in case of any legal claims. Standard risk management.
  • Marketing Stuff: If you unsubscribe from emails, we'll keep your email address on a "do not contact" list so we don't accidentally re-add you.

If you want something deleted sooner (and it's legally possible), just let us know and we'll handle it.
